Position Purpose

The business advisor supports the team to deliver high quality, on time, on budget, analytics services, by conducting business administration for the group and allowing the specialists to focus on the technical analytics work. The business advisor will focus on two key areas: • Project identification – support VP and manager to identify potential analytics projects through regular dialogue with both internal business units and external stakeholders. Ensure a consistent client experience for intake of these projects by being the primary point of contact. • Project management – facilitate successful delivery of projects through tracking/reporting on milestones, support VP and manager to ensure strong vendor relationships, ensuring sound project close out, records management and lessons learned.

Key Function and Responsibilities

1. Responsible for the on-boarding of new projects for the Analytics team

  • Proactively meet with clients (internal/external) to identify opportunities for analytics work (modeling, visualization, research). Maintain a consultation calendar for both internal/external stakeholders and proactively follow-up with business units on potential opportunities that have been identified.
  • Act as point person for setup of all new projects requested of the analytics team - ensure the project charter document is completed and approved for every project initiated.
  • Ensure a consistent user experience for clients accessing analytics services
  • Ensure a robust and up-to-date package of sample analytics materials (e.g. visualizations) to help identify potential new analytics projects. Work with client integration and marketing teams as required to prepare communications material.
  • Manage the workflow associated with procuring any required external vendor support

 

2. Enable team to deliver on analytics projects that have been assigned

  • Ensure tracking and reporting of all analytics projects - provide regular reports to management on status of all projects; Support tracking of team deliverables using excel, MS Project, Service Tracking System and PTR. Analyze trends to identify appropriate time allocations on projects and remind team of pending deadlines
  • Work with the team and administrative assistant to ensure consistent and high quality records management. Ensure all analytics records are saved as per IO and department guidelines.  Provide direction to the administrative assistant on managing the shared/livelink folder structures for the team and conduct reviews to ensure documentation is being stored appropriately
  • In partnership with client integration and marketing teams, ensure high quality and consistent brand for all products produced by the team
  • In collaboration with the Corporate Legal team, support any Freedom of Information and Protection of Privacy Act (FIPPA) requests
  • Ensure all key analytics processes are documented and updated annually (e.g. Baseline, GREP Annual Report)

 

3. Responsible for close-out of projects completed by the team and continuous improvement.

  • Ensure full close-out of projects with external vendors (financial close in consultation with finance and vendor performance documentation completed in consultation with the procurement team)
  • Complete lessons learned (documents/videos) for every project completed and they are communicated to management and clients
  • Identify opportunities to streamline analytics processes/reporting and implement approved plans

 

4. Support the delivery of the Data Strategy and associated action plans.

  • Manage the project plan (schedule, action items) associated with the IO Data Strategy and Data Strategy Council
  • Act as point person for all inquiries related to data strategy - proactively follow-up with members of IO's Data Strategy Council to identify issues and ensure delivery on commitments

 

5. Research, data visualization, and information sharing.

  • Conduct research and obtain material in support of the development of analytics white papers. Share this information directly with applicable business units and via the analytics information portal
  • Responsible for ensuring regular updates to analytics information portal and continue to evolve the portal based on user experience
  • In partnership with the client integration and marketing teams, maintain an up-to-date information package for the analytics team to be shared with clients (internal/external) - including presentations, case studies, audio/video.
  • Prepare visualizations (for presentations) of data analysis being prepared by analysts

 

6. Contract management associated with external vendors:

  • Coordinate contract management for analytics project and lead/oversee contracts for procurements required to support work being led by the analytics business advisor
  • Prepare required procurement documentation and work with procurement team to retain external service providers
  • Coordinate issues resolution with vendors in case of invoice discrepancies, lack of back up documentation, payment issues, etc.
  • As directed by the procurement team, ensure completion of any required vendor performance scoring and documentation
  • Prepare any required contract status reports for management and key stakeholders
  • Monitor project expenditures, ensuring accuracy and completeness of information. Track invoices submitted by the external service providers against contracts' budgets and deliverables and process them for payment in accordance with established process. Escalate issues as appropriate

 

7. Represent the analytics team for applicable corporate initiatives & annual business activities:

  • Act as point person for team on corporate initiatives where input is requested
  • Coordinate agenda, material, venue for annual market scan/analytics day for IO staff
  • Coordinate agendas, material, venue for quarterly goals planning/teaming sessions
  • Provide quarterly reports on goals progress for team to analytics management tea

 

8. Other duties as assigned from time to time as required by management or the team.

Qualifications

Education and Knowledge

  • Post-secondary degree or diploma in business, real estate, economics, or related field
  • Knowledge of data visualization and process mapping
  • Knowledge of project management fundamentals - PMP is an asset
